Keyholder Guide



This section is designed to give you, a nominated keyholder, a brief but informative guide to your duties.

What are my responsibilities as a keyholder?
  How will I know if the alarm has been activated?
  When an alarm is activated and I am called to the property, what will I be expected
to do?

Q. What are my responsibilities as a keyholder?
A. First you must ensure that you are contactable in the event of alarm activation:
Ensure that you are available by telephone at all times.
Inform the property owner of any commitments (including holidays or weekend's away) that prevent you being able to attend alarm activations.
Similarly, any change of address and/or your contact numbers are vital information for the Keyholder Database to function properly. Please ensure that the person who you hold keys for has your up to date contact details and these are registered on the SurPol Keyholder Database.
Secondly, you must able to attend the property in/under 20 minutes.
You are also responsible for resetting the alarm system after the property has been secured. To do this, you will need to know how the system works, the alarm PIN numbers, entry and exit routes etc

Q. How will I know if the alarm has been activated?
A. You will receive a call from the Police Command Centre or Local Authority Environmental Health Officer who will inform you that your immediate attendance is required at the property.

Q. When an alarm is activated and I am called to the property, what will I be expected
to do?
A. In the event of the property's alarm being activated you, as a keyholder, will be expected to do the following:
Attend the premises without delay with the property keys
If the Police are in attendance, make yourself known to them and assist them as necessary.
Turn off the sounding alarm as soon as possible
You must check that the building is clear, ensure that there is no damage to the property. If repairs do need to be carried out, then it is your responsibility to organise them e.g. call a locksmith or glaziers. The SurPol Keyholder Database may hold information on a property owners preferred repair service. Police attending the incident can retrieve this information if it has been provided.
Finally, when the property is safe to leave, reset the alarm system and lock-up the property.

Q. Do I have to know the alarm system or will there be someone to help me reset the alarm?
A. You are fully responsible for resetting the alarm on the property and must know exactly how this is done. Often it is best to liase with the property owner in order to gain a thorough understanding of how to operate the alarm system.
Be prepared - Know the following:
The location of the alarm control panel, sensors and contacts
The alarm panel PIN number & verification password/details in the event of having to speak to the alarm company
Entry and exit routes when the alarm is set
The alarm company's contact details in the event of complications
